  • From a third party if deemed helpful by us

Call Recording Notice:

Some telephone calls to or from Mr Green may be recorded for training, quality assurance, and record-keeping purposes. Where a call is being recorded, you will be informed at the beginning of the call. Recorded calls are stored securely and accessible only to authorised personnel.

4. Use of Artificial Intelligence (AI) Tools

Important: How we use AI tools

Mr Green and our franchise operators may use third-party artificial intelligence (AI) tools, including Claude AI (provided by Anthropic, Inc.), to assist with business administration tasks. These tasks may include reading and organising client list information, creating spreadsheets and business documents, and drafting correspondence.

When AI tools are used to process personal information, the following applies:

4.1 What Information May Be Processed by AI Tools

Client information such as names, addresses, service details, and pricing may be uploaded to AI platforms for the purpose of organising and formatting that information into usable business documents. Any other information that is deemed relevant

4.2 Third-Party AI Service Providers

We currently use Claude AI, provided by Anthropic, Inc., a United States-based company. When information is submitted to Claude AI, it is transmitted to and processed on Anthropic’s servers. Anthropic’s own privacy policy governs how that information is handled on their platform. We encourage you to review Anthropic’s privacy policy at anthropic.com if you have concerns about how AI platforms handle data.

4.3 Our Commitment When Using AI Tools

  • We will only use AI tools for legitimate business administration purposes
  • We will not upload sensitive personal information (such as financial records, health information, or government identifiers) to AI platforms unless strictly necessary
  • We take reasonable steps to minimise the amount of personal information shared with AI platforms
  • Our staff and franchise operators are instructed to use AI tools responsibly and in accordance with this policy

4.4 Your Right to Object

If you are a client of Mr Green or a Mr Green franchise operator and you do not wish your personal information to be processed using AI tools, please contact us using the details in Section 2. We will make reasonable efforts to accommodate your request.

We use personal information only for the purposes for which it was collected, or for directly related purposes. These include:

  • Providing lawn mowing, garden maintenance, cleaning and any other services
  • Managing customer accounts and service schedules
  • Sending service reminders, invoices, and communications

  • Training and supporting our franchise operators

If you are a client in a franchise area, your information may be shared with the relevant Mr Green franchise operator in order to deliver your service.

These providers are only given access to personal information that is necessary to perform their function, and they are required to keep it confidential.

6.3 Legal Requirements

We do not sell, rent, or trade personal information to any third party for commercial purposes.

7. Overseas Disclosure

Some of the third-party service providers we use, including AI platforms such as Claude AI (Anthropic, Inc.), are located overseas, including in the United States. When personal information is sent to an overseas provider, we take reasonable steps to ensure that provider is required to protect the information in a manner consistent with New Zealand privacy standards.

By using our service, you acknowledge that your information may be transmitted to and processed in countries outside New Zealand, including the United States.

  • Website log data is typically retained for no more than 12 months
  • Information that is no longer needed is securely deleted or de-identified

Under the New Zealand Privacy Act 2020, you have the right to:

You may request a copy of the personal information we hold about you. We will respond to your request within 20 working days. In some limited circumstances we may decline access, but we will tell you why.

11.2 Correct Your Information

If you believe any personal information we hold about you is inaccurate, incomplete, or out of date, you may ask us to correct it. We will respond within 20 working days.

12. Children’s Privacy

Our services are not directed at children under the age of 18. We do not knowingly collect personal information from anyone under 18.
